Once the vessel’s employment has been determined, the post-fixture manager ensures that the ship carries out the tasks to which it has been committed by their commercial colleagues. The operational post-fixture management executes many critical tasks like; bunker management, appointment of port agents, instructing the vessel, monitoring of income collection (freight, hire, demurrage, other), disbursements accounts, laytime calculations etc.

1. Set up your team's fleet and assign the responsibility for the ships

Start by inviting colleagues to your team. Set up your fleet, and assign the commercial responsibility of specific vessels to colleagues. Each of you will have access to the vessels you are responsible for in a private list, showing where and when the vessels are open.

You can add your team's and other lists of vessels you hav made, as layers to the map to quickly find where they are. For Enterprise customers we can assist in parsing position emails so your fleet is automatically updated with your accurate information.

You can always view your vessels' positions in the map.

2. Quick access to questionnaires, documents and drawings on each vessel

On each vessel you can add private information such as:

  • Technical information in questionnaire templates only available for you, your team and those you actively choose to share information with.
  • Operations showing more details about previous voyages than you find in the AIS.
  • Vessel contact details and contact details to owners, technical managers etc.
  • Documents like charterparties and technical drawings.
  • Photos and images from tanks, pipes, holds and hatches.
  • A team user log showing the team’s activity.

3. Turn to satellite mode and study the port activities and vessels waiting at anchorage

Turn to satellite mode, add all vessel segments, study the port, the berth activities and vessels waiting at anchorage. Add the marine weather forecast layer and estimate whether you should expect delay in that port or when your vessel arrives.

Expand the port page and find more information such as weather tide, bunker prices, grades and availability.

You will also find a list of the biggest vessels visited all the ports (of each segment).

You can attach documents, drawings and photos to any port. Ask the port captain or the captain onboard the vessel to shoot photos from his mobile and the photos will be directly attached to the vessel.

4. Compare bunker prices between ports nearby or along your route

We all know carbon and environmental footprints and bunker costs will be a game changer for the maritime industry the years ahead. Prices vary a lot, and in addition you have to bear in mind the carbon emissions. Therefore, we have made it easy for you to have a quick overview of bunker prices, grades, and which bunker grades are available in the ports. You can compare the prices between ports nearby or ports along your route.

You will find bunker information on the port page, under a separate bunker ports page, in the map and as part of your voyage calculations. In the map you can add ECA and SECA layers to have a quick overview of the applicable rules and regulations.

5. Use the sea route calculator to find when the vessels arrive in a port

If you need to calculate the sea distance and time from any vessel’s position to any port, just click on the vessel and choose the sea route calculator on the vessel card.

Add other layers of information, such as marine weather (wind, precipitation, currents and waves), anti-shipping activity or sea ice (updated every 24th hours), ECA/SECA zones, polar code etc.

6. Add notes directly attached to vessels and ports  

You receive information through many different channels (email, phone, Messengers, from Google, WhatsApp etc) from brokers, and conferences you attend. So how much time do you spend searching for that information later?

If you and your colleagues use this digital notebook and add comments to vessels and port while discussing, you can search and find these notes in your notebook later anytime.

You can also integrate Maritime Optima to your Microsoft Teams subscription.

7. Access your document folder for vessels and ports from your mobile and your laptop

How many hours have you spent searching for information in internal systems? Get easy access to vessels technical descriptions in questionnaire templates based on Q88, Baltic Form, C-form and B-form. Store and sync documents such as charterparties, technical drawings, B/L etc.
